Creating an event

1. Create an Event Template

  • Creating an event template is useful if you are conducting similar events repeatedly.
  • This step saves time by pre-configuring common settings.
  1. Navigate to Events: Go to the events section in CiviCRM.
  2. Create a New Template: Start creating a new event and configure the basic settings you want to reuse.
  3. Set Basic Information:
    • Enter a title for the event template.
    • Choose whether to list participants publicly (usually not).
    • Enable public visibility.
    • Enable maps and links to add the event to calendars and social media.
  4. Configure Settings:
    • Decide whether to display the event location.
    • Set up online registration.
    • Configure the information you want to collect from participants, such as name and address.
  5. Set Up Confirmation and Reminders:
    • Enable confirmation screens and emails.
    • Set up a reminder email to be sent one day before the event.
    • Customize the subject and content of the reminder email.

2. Add a New Event

  • After creating a template, you can create individual events using the template or from scratch if it’s a one-off event.
  • This step involves setting specific details for each event.
  1. Navigate to Add Event: Go to the section for adding a new event in CiviCRM.
  2. Choose a Template (Optional): Select the event template you created earlier to pre-populate settings. If it is a one-off event then skip this step.
  3. Set Event Date and Time:
    • Adjust the date and time for the specific event.
    • Set an event end time.
  4. Verify Settings:
    • Ensure the location and reminder settings have been copied correctly from the template.
